Trade show stands live or die on the first three seconds. A visitor walking the hall scans 20 stands a minute. If your banner does not tell them what you sell and why they should stop, they have already passed.

Bring three banner types: an 850mm roller banner for the front, a 3m x 2.5m fabric or vinyl backdrop behind, and a hanging banner above if the venue allows. Use one headline of 4 words or less and your URL big enough to scan from the next aisle.
The three banner types every stand needs
Roller banners are the workhorse. They roll up into a carry case, set up in 30 seconds, and stand 2 metres tall. Standard size is 850mm x 2000mm. Order two per stand: one each side of the entrance.
A back wall banner gives the photo backdrop for visitor selfies and conversations. Fabric is best for repeat use because it folds without creasing. PVC is fine for a one-off show.
Order banners in the show's brand colours, not generic black and white, even if the venue offers free generic signage. The branded stand outperforms the generic one in lead capture, photo shares and follow-up meeting rates. The colour spend pays for itself within the show.
Hanging banners above the stand
Most large London venues allow rigged hanging banners above a stand for a separate fee. A 3m x 1m double-sided banner suspended 4 metres above eye level is visible across the hall and earns its cost on a 3 day show.
Copy hierarchy for trade show banners
Top of the banner: what you do in 4 words. Middle: a benefit or hero product. Bottom: your URL or stand number. Logo goes top right or bottom left, sized smaller than the message.
Skip the bullet list of services. Visitors are not reading. They are scanning for a category match. If they cannot tell what you do in 2 seconds, your stand fails.
Headline formulas that work
Category + outcome: WAREHOUSE ROBOTICS THAT PAY BACK IN 18 MONTHS. Problem + you: STOP LOSING STOCK. WE FIX THAT. Audience + offer: HOTELS, CUT LAUNDRY COSTS 30%.
Material choice for travel and reuse
Roller banners use a polyester film with a base block. Polyester resists creasing in transit and the base block is weighted for stability. Avoid the lightest roller cassettes for windy outdoor shows.
Backdrops in tension fabric on an aluminium frame are the gold standard for reuse. Β£150 to Β£350 depending on size, and they pack to airline carry-on dimensions. Vinyl is cheaper, but creases that never fully relax show in stand photos.

Stand-out tactics that work in busy halls
Height wins. A 2.4m banner with a 30cm headroom above competitors reads as bigger and more serious. Pay the venue rigging fee for one hanging banner if budget allows.
Movement helps too. A simple printed flag on a 3m pole catches more peripheral vision than any static graphic. Pair flag plus roller plus backdrop for a balanced setup.

Logistics and lead time
Order banners 10 working days before show date if possible. Allow time for artwork proofing, print, and delivery to the venue or your office. We can turn roller banners same day from our Putney studio when needed, but the rush leaves no room for proof iteration.
Pack a roll of double sided tape, cable ties, scissors, a small hammer and a Stanley knife in a stand kit. Something always goes wrong on build day and a Β£15 kit saves a panicked Uber to a hardware shop in the rain.

Lead capture signage on the stand
Most stands miss the lead capture banner. A simple 3ft x 2ft sign next to the laptop or tablet with SCAN TO BOOK A DEMO or DROP YOUR CARD FOR THE PRIZE DRAW converts standing conversations into recorded leads.
Put the QR code at 10cm minimum size and test scan it on three different phones before the show. QR codes that fail to scan at the venue (poor light, glossy laminate, weird angle) kill conversion rates and frustrate stand staff.
Plan the post-show storage on day one. The stand kit needs to come back to the office in a state that makes the next show easier. Number the banner cases, photograph the stand setup at the end of each show, and store the photos with the cases. The next show build runs faster every time.
